BillsBridge collects information you provide directly when using our services. This includes:
- Account information: name, email address, phone number, and business details
- Payment information: bank account details for settlement (processed securely through our integrated payment partner)
- Invoice data: products, prices, customer names and contact information
- Product images: photos uploaded for AI-powered product scanning (processed via our AI service providers)
- Usage data: app interactions, feature usage, and session information
- Device information: device type, operating system, and app version
How We Use Your Data
We use collected data to:
- Provide, maintain, and improve our invoicing and payment services
- Process payments and send receipts via WhatsApp
- Generate business reports and analytics for your account
- Send transactional notifications (invoice sent, payment received)
- Provide customer support
- Detect and prevent fraud or abuse
- Comply with legal obligations
We do not sell your personal information to third parties. We do not use your data for targeted advertising.
Data Sharing
We share your data only with trusted third-party service providers, and only as needed to deliver our services:
- Payment processing partner — for processing payments (MoMo, Visa, Mastercard) and settling funds to your account
- Messaging platform — for delivering invoice and receipt messages via WhatsApp
- Cloud infrastructure provider — for data storage, authentication, and backend services
- AI service providers — for product name and category detection from images (product data may be sent to third-party servers for processing)
We may also share data if required by law, court order, or to protect the rights and safety of BillsBridge and its users.
Security
We take reasonable measures to protect your data. This includes:
- Encryption at rest and in transit across all infrastructure
- Strict tenant isolation so each business account’s data is fully separated
- Webhook signature verification for payment and messaging data integrity
- API protection and request validation
No method of electronic storage or transmission is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
Data Retention
We retain your account data for as long as your account is active. Invoice and payment records are retained for a minimum of 6 years to comply with Ghanaian tax and financial regulations. You may request deletion of your account and associated data at any time by contacting us.
Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your account and data (subject to legal retention requirements)
- Export your invoice and payment data
- Withdraw consent for non-essential data processing
